How to use FLTControl

Everything you need to run a fleet — from onboarding a driver to getting paid with Moolre. Pick a guide below, or sign in to follow along in your own dashboard.

For fleet operators

Admins and staff running an organisation.

Getting started

Set up your fleet and understand who can do what.

Your first 10 minutes

  • Add your drivers under Fleet → Drivers, then add your vehicles under Fleet → Vehicles and assign them.
  • Set your fees and billing under Admin → Settings before you send the first invoice.
  • Send an invoice, then watch it get paid — the driver pays from their phone and their wallet updates automatically.

Roles at a glance

  • Super Admin — the platform owner; sees every organisation, approves new sign-ups, sets global fees and gateways.
  • Admin — runs one organisation: drivers, invoices, wallets, payouts, reports.
  • Staff — day-to-day operations with a narrower set of permissions.
  • Driver — uses the mobile driver portal to see invoices, pay, and track their wallet.

Drivers & vehicles

Onboard people and cars, and stay on top of compliance.

Drivers

  • Add a driver with their name, phone and date of birth — a login is created for them automatically.
  • Drivers sign in on their phone with their number + date of birth, then confirm a one-time code (OTP) the first time.
  • Open any driver to see their wallet, invoices and full activity in one place.

Vehicles & compliance

  • Add vehicles with registration, make and model, and assign them to drivers.
  • Record insurance, roadworthy and registration expiry dates — the Compliance page flags what is expiring or overdue.
  • Schedule maintenance and let the system raise alerts when service is due.

Invoices & payments

Bill drivers, collect online with a payment gateway, or record cash.

Creating invoices

  • Create a single invoice, or use Bulk create to invoice many drivers at once.
  • Each driver is emailed their invoice and sees it in their portal, with a Pay button.
  • Any wallet credit a driver already has (earnings or bonus) is applied to new invoices automatically.

Getting paid

  • Drivers pay online by mobile money — checkout runs on Moolre Collections and settles the invoice automatically.
  • You can also record a cash, bank-transfer or waived payment manually from the Payments page.
  • Use the period filter on the Payments page to see collected, outstanding and overdue for any date range.

Wallets, bonuses & car loans

Track what each driver earns, owes and is owed.

Driver wallets

  • Every driver has a wallet showing what they owe (outstanding), their earnings (income) and their bonuses.
  • Add income or bonuses to a driver — one at a time or in bulk — and set up bonus tiers by trips completed.
  • Credits auto-apply to unpaid invoices; only real gateway funds can be paid out.

Work-and-pay car loans

  • Run hire-purchase loans with daily or weekly remittance and a repair fund.
  • Send drivers a daily remittance statement or a weekly loan statement by email.
  • Track each loan’s balance, weeks remaining and repair-fund position.

Organisation wallet & payouts

Top up, pay drivers and owners, and reconcile.

Money in

  • Deposit into your organisation wallet — the fee preview shows exactly what will be charged before you pay.
  • Deposits run through your configured gateway.

Money out

  • Pay drivers or owners straight to mobile money or bank using payment disbursements — no OTP dance required.
  • A payout is created as pending and confirmed automatically when the gateway settles it.
  • Reconcile, adjust and review every transaction from the wallet’s Transactions tab.

Reports & settings

See the numbers and configure the platform.

Reports

  • Cash position, outstanding liability and payout liability at a glance.
  • Platform revenue (Super Admin) separates what FLTControl keeps from pass-through gateway fees.

Settings

  • Set platform and gateway fees, choose your payment gateway, and toggle features on or off.
  • Upload your logo and brand colour so the portal and emails match your fleet.
  • Turn SMS one-time codes on for driver login once your SMS is configured.

For drivers

Using the mobile driver portal.

Logging in

No password to remember.

How to sign in

  • Use your phone number (or email) and your date of birth — no password needed.
  • The first time, we send you a one-time code by SMS and email; enter it to confirm it’s you.
  • After that, you sign in with just your number and date of birth.

Paying an invoice

Pay from your phone in seconds.

Make a payment

  • Open Invoices and tap Pay on the invoice you want to clear.
  • Pay the full amount or a part of it, then complete the mobile-money checkout (powered by Moolre).
  • Your invoice is marked paid and your balance updates automatically — no need to send a screenshot.

Your wallet & bonuses

Everything you owe, earn and are owed.

Understanding your wallet

  • Outstanding is what you owe on invoices; Earnings and Bonus are what you have on account.
  • Your earnings and bonuses are applied to your invoices automatically.
  • When you have a withdrawable balance, you can request a payout to your mobile money.

Statements & car loan

Keep track of remittance and your loan.

Statements

  • You receive a daily remittance statement by email showing what to remit that day.
  • If you’re on work-and-pay, you also get a weekly loan statement.

Your car loan

  • The Loan tab shows your total loan, how much you’ve paid, and weeks remaining.
  • It also tracks your repair fund contributions and balance.
